What the Archive Accepts
Due to limitations of space, suitable climate control, and in keeping with our purpose as a part of Drake Library, the Archives accepts the following from SUNY Brockport Offices, Departments, and Faculty:
- Reports, memoranda, promotional materials, public correspondence, photos, video or audio recordings that are not kept in another location such as the Department office. Please note, the material must be free of external copyright restrictions.
- Small collections of papers and notes that give clear context to the materials from emeriti or retiring faculty or administrators, no more than 1 standard bankers box (10.25″ H x 12″ W x 15″ D, or about 1.1 cubic foot) or no more than 6 linear feet of books.
Donations from alumni, staff or their families are accepted at the discretion of the archivist if the item(s) have historical significance to the institution and are unique and not already in the collection.
The Archives does not accept
- Items of clothing, banners, or other items comprised of fabric
- Perishable goods
- Any material containing identifying information such as student id numbers, Banner numbers, Social Security numbers, addresses/telephone numbers
- Artworks (paintings, drawings, sculptures, etc.)
- Old technology
- Unsorted boxes of miscellaneous materials from an office that is in the process of being “cleaned out”
- Material on the history of the village of Brockport that has no clear connection to events or people at the University
- Books or papers that are in poor condition, water-damaged, mildewed or rusted
- Physical memorabilia such as coasters, trophies, or similar promotional materials, only at the discretion of the archivist

To determine if materials comply with the Archives standards, contact the archives via email at archives@brockport.edu before bringing items to the library. This is the fastest and most efficient way to contact Archives staff. Drake Library staff cannot be responsible for the storage and care of materials dropped off without prior agreement.
