Mail Delivery and Notification Process
Mail is delivered to the Student Mail Room daily Monday – Saturday. Deliveries are made throughout the day based on the schedule of the shipping agents. Please note that mail deliveries may be impacted by holidays, inclement weather, staffing shortages, or unexpected circumstances. USPS mail is not delivered to the Union on Saturdays.
Once mail is delivered, it is signed for, inspected, and logged by a Mail Room employee. Our mail tracking software will generate and send an automated email to your Brockport email address once your mail is successfully logged in. Your item is ready for pick up once you receive this email. Please note that you will receive an email for each item logged into the Mail Room’s tracking software. This means that you may receive multiple emails if multiple pieces of mail are delivered to the Student Mail Room.
Be sure to include your firstANDlast name on packages sent to the Student Mail Room. Mail without a last name may be marked as undeliverable and returned to sender. Also, be sure that the name on your mail matches the name on your Brockport student ID.
Mail Pick Up Process
To pick up your mail, come to the Student Mail Room once you have received the automated email stating that you have mail. Present your Brockport student ID card or other form of photo ID to the Mail Room employee so they can collect your item. Photo identification is required to pick up mail.

Due to storage limitations, mail is kept in the Student Mail Room for 4 weeks from its arrival date. Any piece of mail not collected after this time is checked out of the tracking system and returned to sender. Before this happens, you will receive multiple email notifications reminding you to pick up your mail.
Please note that mail is not held for extended periods during the summer or winter break. This means that any piece of mail not picked up within the four week window will be returned to sender.
Yes. The Student Mail Room has a small refrigerator for storing perishable and/or refrigerated items. Space in the refrigerator is limited, so these items will need to be picked up ASAP.
The Student Mail Room can send outgoing mail if you provide the necessary postage. To send outgoing mail, simply stamp your item or apply a pre-paid shipping label and bring it to the mail room during our hours of operation. Please note that you must include a stamp or pre-paid shipping label as the Student Mail Room is unable to provide postage. Mail submitted without proper postage will be returned.
Maybe. The Student Mail Room can forward packages shipped by Fed Ex, UPS, or USPS. Unfortunately, packages shipped from other shipping providers cannot be forwarded.

No. Due to space limitations, the Student Mail Room does not have moving carts available for students to use. Please bring a moving cart from your residence hall if you are picking up a large or heavy package.
Typically, shipping agents will mark a package as delivered once it has been dropped off at the SUNY Brockport campus. While some shipping agents deliver directly to the Student Mail Room, others deliver to different buildings on campus. All student mail is routed to the Student Mail Room once it is delivered. This process isn’t instantaneous; there may be a delay before your package arrives in the Union. Mail arriving at the Student Mail Room is processed in the order it was received. This means it might take Mail Room staff time to log your item into the tracking software. Please wait until you receive the automated notification email from the Student Mail Room before you come to the Union to pick up mail.
Come to the Student Mail Room and explain your situation to the employee. If you have it, bring the tracking number for the missing item. The Mail Room staff will review their records to determine if the item ever arrived in the Student Mail Room.

Our mail tracking software only contains information about current Brockport students. Mail addressed to people who are not current students will be marked as undeliverable and returned to sender. If you are expecting mail under your parents’ name, contact the Mail Room staff immediately to work out a personalized delivery plan with the Mail Room Supervisor.
Once mail is marked return to sender, it is placed in the outgoing mail bin for pick up by a shipping agent. Returned mail must be picked up by the shipping agent that originally delivered the item. The shipping agent will collect returned mail and begin routing the items back to the original sender. Please note that most shipping agents do not log returned items into their tracking systems. This means that you will not be able to track your item via the tracking number provided by the shipping agent.
The shipping agent assumes all responsibility for returned mail once they take possession of the returned mail. The Student Mail Room staff will not know where returned mail goes once it leaves the mail room. If your mail was returned and removed from the Student Mail Room, you must contact the merchant or shipping agent directly to determine the whereabouts of the mail.
No. Due to delivery instructions and space limitations, the Student Mail Room typically cannot accept orders from DoorDash or Instacart. Typically, deliveries from Walmart Express do not contain enough identifying information for the Mail Room staff to identify the package recipient. If you order from these services, please have them delivered directly to your residence hall. Be sure to provide the drivers with instructions on how to get to your building and contact information to inform you when they have arrived.
