Vice President News from Ian Harper
I hope you are all well and dried out after the torrential rain last week! Thank you to everyone that attended the recent Divisional Meetings on March 26th and 27th. We covered an array of topics and the turnout was fantastic. It was great to see you all and spend some time together enjoying good food, many thanks to the BASC team, sharing some of the many highlights of the great work you all do to make this University such a success, and sharing the various activities that are currently happening across campus and in the Division. We also had some fun, with raffle prizes, a quiz and guess the candy, we have included some photos as reminders.
Thank you to those that took the time to respond to the survey, it’s very much appreciated. There were a number of good ideas on areas for improvement, future topics to cover. Communication is a two-way street and it’s vital to enable us to grow, develop and improve, so please keep the feedback flowing
We did spend time talking about a very important topic, respect, and specifically the draft principles of respect that have recently been developed. It was encouraging to see the degree of involvement and discussion at each of the tables and your input and suggestions are invaluable and will be used as we finalize these principles for our division which I will then share with Cabinet for information but equally as important for adoption across the University. As was said, being in a service division we do support and interact with numerous teams and divisions across campus and we should, as should others be treated with courtesy and respect, even when delivering messages that folks may not want to hear.

24th Annual Diversity Conference Call for Proposals – We invite and encourage students, faculty, and staff to submit a proposal. We request proposals that are 45 - 75 minutes in length (including Q&A) that relate to the conference theme. Presentations should focus on research or evidence-based actions that result in awareness, knowledge and skill development referencing one or more of the above-mentioned conference themes. Edward J. Kumar Administration & Finance Scholarship
The Division of Administration & Finance is pleased to announce the 2025-2026 recipients of the Edward J. Kumar Administration & Finance Scholarship: Caroline DeLaura, James Swift, and Caitlin Uhelsky. Established in 2007, this competitive scholarship recognizes outstanding incoming and continuing students who are relatives of current or retired employees of the Division of Administration & Finance, Brockport Auxiliary Service Corporation (BASC), or the Research Foundation at SUNY Brockport. The award provides non‑tuition educational support to help offset costs such as room, board, and university fees, with recipients selected based on eligibility criteria and demonstrated financial need by a dedicated selection committee.
Students who meet the eligibility criteria are strongly encouraged to apply in future cycles. The Edward J. Kumar Administration & Finance Scholarship offers meaningful financial support while honoring the legacy of service within the Brockport community. Scholarship applications are accepted each year from November 15 through February 15, and eligible students are encouraged to apply annually, as multiple awards may be granted.
Brockport Auxiliary Services Corporation (BASC)
BASC is gearing up for its renovation of Harrison Dining Hall which will kick off in May. As part of the work being done, a new station will be added, which will result in more variety, and other facility updates will ease traffic flow and congestion. The allergen friendly station will be moved and become a free-standing station, and a new dish room will enable composting capabilities. This work will begin in May with Harrison reopening for the fall and parts of the project continuing through the academic year while Harrison Hall is in operation.
The entire campus community is invited to join BASC for the return of the Food Fair on Tuesday, April 7 from 11 am – 1 pm in the Seymour Union Ballroom. This event is a great opportunity to sample new food products and provide feedback on the items you’d like to see offered on campus. See you there!
National Student Employee Appreciation Week is April 13 and as the largest student employer on campus, BASC looks forward to celebrating its student team members with a special event on Friday, April 17. Please join BASC in thanking our student team members for their valuable contributions!
Finance Management/Office of Student Accounts & Accounting(F&M)
In March, Finance & Management welcomed Tina Listar as the new Administrative Assistant for the team! Tina brings a wealth of experience to the role, having served in a similar capacity at a school district and for another local public facing company. Within the F&M Team, her tasks will not only encompass support for the Assistant Vice President and the Associate Director of Procurement & Payment Services but will span the whole unit. In the few short weeks, she has been here, Tina has hit the ground running and been essential in catching up many projects. Please join us in welcoming Tina to Administration and Finance!!
Finance & Management/Office of Student Accounts & Accounting (F&M/OSAA)
- Partnered with Admissions to assist students at Accepted Student Day on Saturday, March 28th.
- Transitioned all campus credit card terminals successfully over to the WorldPay platform.
- Generated NYS fiscal year-end financial reports and submitted all revenue distribution reports to System Administration by their reporting deadlines.
Finance & Management/Procurement and Payment Services (F&M/PPS)
- All requisitions must include a justification explaining who the purchase is for, what is being purchased, and why it is needed. This information must be entered into the comments section of EagleMart. Missing information will result in the delay of the procurement.
- When an employee travels on official State business, only actual, necessary, and reasonable expenses are eligible for reimbursement. When arranging travel for an upcoming trip, all bookings must reflect the most economical method of travel in the best interest of the University. This includes selecting basic economy airfare, lodging within established per diem rates, and standard/economy vehicles rented under Brockport’s direct bill with our contracted vendors. When renting within New York State, Enterprise should be used. For any rentals outside of New York State, reservations should be made through Hertz. It is the responsibility of both employees and their supervisors to know and follow all Brockport policies and procedures, as well as State travel rules and regulations. If any additional travel occurs for personal reasons, those expenses are not reimbursable, and all costs incurred after the conclusion of the business portion of the trip are the responsibility of the traveler. Any changes to itineraries that result in additional expenses must be fully documented and submitted to Procurement along with the reimbursement request or travel card documentation. If you have questions about your upcoming travel or want to ensure you are following all travel policies before you book, please contact Meagan Oas to confirm that all planned expenses meet State requirements.
- Only four designated officials can sign contracts for SUNY Brockport, and all must be properly reviewed—unauthorized agreements may be invalid and personally liable. The authority to enter into and execute contracts on behalf of SUNY Brockport is limited to the following four University officials (1) President (2) Vice President for Administration and Finance (3) Assistant Vice President for Finance and Management (4) Director of Campus Services. No other employee, department, or unit is permitted to bind the University to contractual obligations—whether written, verbal, digital, or implied. Contracts signed by individuals without proper authorization may be considered invalid and may result in personal liability for the individual who executed the agreement. All contracts must be routed through the appropriate review and approval processes prior to signature, including legal, financial, and operational assessments as required by University and SUNY procedures.

Winners of the Candy Jar Guess: Congratulations to our guessing game winners!
At the PM meeting, Jose Santiago from Facilities Custodial took the win with an impressively close guess of 120—the correct answer was 119. At the AM meeting, Carlie McCoy, also from Facilities Custodial, won with the closest guess of 104, just three away from the correct answer of 107.

BizLibrary Suggested Course of the Month
8 Tips to Finishing What You Start (6 minutes long; rated 4.5 of 5 stars) – viewers can discover how to overcome obstacles that prevent them from completing workplace tasks. In this one-off lesson, learners will look at common reasons why people find it challenging to complete projects—and consider what tends to be a major roadblock for them. In addition, viewers will recognize why leaving tasks unfinished can cause anxiety and discomfort and learn useful strategies for making it to the finish line—even when it seems impossible.
