Event Request Process
The event reservation process is slightly different for students, faculty/staff members, and non-Brockport affiliated groups. To figure out the process for you, click the dropdown that best describes your circumstances.
Students hosting events as part of a registered student organization must submit an event request form through the organization’s myBrockport page. Once the event request is submitted, it will be reviewed by an event coordinator from the Office of Student Union, Leadership & Activities. The event coordinator assigned to your event will contact you via email or myBrockport post to work through necessary logistical details. Once all details are confirmed, a formal confirmation will be sent via email. Please note that event requests are not officially confirmed until the person that requested the event receives a confirmation email.
Students hosting events as part of a class, internship, or project with a community group must contact the Assistant Director of Student Union Facilities via email. Be sure to include a brief description of the event, proposed dates & times, the professional staff member overseeing the event, the anticipated number of attendees, and any necessary rental equipment. The Assistant Director of Student Union Facilities will work through the necessary logistical details with you. Once all details are confirmed, a formal confirmation will be sent via email. Please note that event requests are not officially confirmed until the person that requested the event receives a confirmation email.
SUNY Brockport faculty/staff members who want to host events in the Union or on the Campus Mall must complete the SUNY Brockport Room Reservation Request Form. The request will be reviewed by an event coordinator from the Office of Student Union, Leadership, and Activities. The event coordinator assigned to your event will contact you via email or phone to work through necessary logistical details. Once all details are confirmed, a formal confirmation will be sent via email. Please note that event requests are not confirmed until the person that requested the event receives a confirmation email.
Please note that the Office of Student Union, Leadership, and Activities only manages event requests for the Seymour Union and the University Mall. If you are planning to host an event in another on-campus location, please follow the appropriate process.
External vendors or groups are individuals, groups, or organizations that do not have a professional affiliation with SUNY Brockport. While external groups are welcome on campus, certain requirements must be met to ensure the safety of our students, the University, and the University’s reputation. In some instances, hourly and/or daily rental rates may apply for external groups that reserve event space on campus.
The Union has a variety of different meeting rooms and multipurpose spaces available throughout the building. Meeting rooms are the perfect place to host smaller meetings, events, or group activities. The Union’s meeting rooms range from small spaces that hold approximately 10 people to larger rooms that can comfortably seat 75 people. Meeting rooms are typically furnished with an assortment of tables and chairs. Event hosts are welcome to rearrange the furniture for their event. However, they should return the furniture to its original location once the event is over.
Our multipurpose spaces are designed to accommodate large-scale events or unique activities. The layout of our multipurpose spaces can be customized (within reason) to fit the specific needs of your event. Our smaller multipurpose space can fit up to 100 people while our Ballroom can host events for over 1,000 attendees! To ease the burden on the event host, the Union’s event management team typically handles set-up and tear-down logistics associated with events held in multipurpose spaces.
All event spaces in the Union have Internet access and are equipped with projection equipment and sound capabilities.

Event Equipment
The Office of Student Union, Leadership, and Activities has an assortment of rental equipment available for use. Rental equipment can be added to any event held in the Union. Your event coordinator will discuss equipment options with you during the reservation process. Before submitting an event request, think about the equipment necessary to make your event successful. This advanced planning will help to simplify your reservation process.
You can adjust your equipment reservation after your event has been confirmed. However, all equipment requests must be submitted at least two business days prior to your event. This gives the event management team time to get everything ready for your event. The event management team may be unable to accommodate your equipment request if it is submitted within two business days of the event.
Unless otherwise indicated, rental equipment can only be used for events held in the Seymour College Union. Rental equipment for events held outside of the Union is provided by different campus departments and offices.
